Scope
This reference documents the Guidance Settings surface in Estimate Setup: each Guidance type, what it changes, what it does not change, and how the two audience tabs (Internal Team and Storefront) differ. AI Configurator chat behaviour is documented in the AI Configurator reference, not here.
Guidance types
Guidance type | What it controls | When to change this | What depends on it |
Category Guidance | Rules that override category selection during intake when a job matches a condition (e.g., "If the longest side is greater than 70 cm, select Banner; otherwise select Leaflets"). | When the default category Estimator picks for ambiguous intake conflicts with your shop's actual product mix. | The category assigned to a quote during intake — and through it, the substrate options, production steps, and price model the quote inherits. |
Product Guidance | Rules that fill missing product attributes from defaults (e.g., "If orientation isn't specified, set it to Portrait"). | When operators or customers routinely leave a field blank and you want a consistent default. | The starting field values on a new quote. Does not override values the customer or operator has typed. |
Suggestions Guidance | Rules that surface a recommendation when a field is empty without applying it automatically (e.g., "For PUR softback books, if the agent suggests Silk coating, also suggest 150gsm paper"). | When you want the agent to nudge the operator toward a paired choice but not pre-fill it. | The suggestion text shown to the operator. Audience tabs

Each tab carries its own set of rules per Guidance type. Internal Team rules stay operational (referencing staff, internal tools); Storefront rules stay customer-safe (services, lead times, sustainability).
Save behaviour
Behaviour | Detail |
You have unsaved changes banner | Appears when you switch tabs with unsaved edits. Select Cancel to remain on the tab and save, or Proceed to discard the edits and switch. |
Per-tab save | Saving the Internal Team tab does not affect Storefront rules and vice versa. |
Apply timing | Saved rules take effect immediately on the next quote intake or chat reply. They do not require Apply Changes because Guidance Settings are not part of the Pending-Changes pipeline. |
Boundaries
Boundary | Detail |
Routing and cost are not affected | No Guidance type changes machine selection, plate count, paper bucket, or any numeric line on the price breakdown. Routing math comes from press, substrate, and finishing setup. |
Suggestions must reference existing values | If a Suggestions Guidance rule suggests "150gsm Silk" and that substrate is not in the library, the suggestion silently falls back to whatever the agent ranks next. Add the substrate first if you want the suggestion to land. |
Token budget | Large guidance corpora increase the agent's token use. Concise rules beat pasted handbooks for both quality and speed. |
Storefront tier gate | The Storefront tab and Save Storefront Guidance action are visible only on Professional and higher subscription tiers; lower tiers see an upgrade prompt instead of the tab. |
