Use this article when a colleague needs to own shop configuration — paper library, machines, products, pricing rules, quote letter — and analytics on top of day-to-day quoting. After this you will see the user open Estimate Setup and Estimates analytics alongside Manage Estimates, with edit rights across every setup table.
Before you begin
Required role: Gelato Connect tenant administrator. Only administrators open the Users screen and edit role assignments.
Confirm the colleague should genuinely own configuration. MIS Admin can change machine costs, substrate prices, quote letter copy, and pricing rules — changes that immediately affect every estimator's quotes. If they only need to produce quotes, assign MIS User instead — see Assign the MIS User role.
Have the colleague's Gelato Connect account ready. If they do not yet have one, create the account first using your tenant's standard Add user flow before continuing.
What MIS Admin can do
Open Estimate Setup and edit every section — Substrates, Machines, Products, Pricing Rules, Settings (including Email Template and General Settings), and Connections.
Stage edits in Pending Changes and choose Apply Changes to publish them to live setup.
Open Estimates analytics to see cross-quote reporting.
Open Manage Estimates and produce quotes, the same as MIS User.
Steps
1. Open the user record
In Gelato Connect, open Users. Find the colleague in the list — search by email if the list is long.
Open the user record. Use Edit user to enter edit mode.
2. Assign MIS Admin
In the Permissions section of the user record, locate the role selector and choose MIS Admin.
Role — the access level that controls which Estimator surfaces the user sees. Pick MIS Admin for a configuration owner. Pick MIS User for a quote-only user (see Assign the MIS User role).
Access presets — if your tenant uses presets, you can click an Estimator preset to pre-fill MIS Admin alongside any related Gelato Connect permissions. Verify the preset includes the Estimator role you intend before applying.
Save changes. Gelato Connect confirms with a "User has been updated" message.
3. Verify the assignment
Ask the colleague to sign out of Gelato Connect and sign back in. Confirm in their session:
The sidebar shows Manage Estimates, Estimate Setup, and Estimates analytics.
Opening Estimate Setup loads the configuration tables without a permissions error.
Editing a substrate or machine and saving lands the change in Pending Changes.
The role is active and the colleague can now own Estimator configuration.
Things to know
Role changes take effect on next sign-in, not immediately. If menus do not update for the colleague, ask them to sign out and back in before treating it as an issue.
MIS Admin is additive on top of base Gelato Connect permissions. A user with no base account access still cannot open Gelato Connect at all — the role does not bypass tenant-level access. Verify they have a working Connect login before assigning the role.
Removing MIS Admin does not also remove MIS User if both are assigned. If you intend to fully revoke Estimator access, clear every Estimator role on the user, not just MIS Admin.
