Use this article when a colleague needs to produce quotes in Estimator but must not change shop configuration — substrates, machines, prices, pricing rules, or quote letter copy. After this you will see the user open Manage Estimates to create and edit quotes without Estimate Setup appearing in their sidebar.

Before you begin

  • Required role: Gelato Connect tenant administrator. Only administrators open the Users screen and edit role assignments.

  • Decide whether this colleague should ever change setup. MIS User is the right choice when they should only produce quotes against the configuration their MIS Admin colleague maintains. If they also own configuration, assign MIS Admin instead — see Assign the MIS Admin role.

  • Have the colleague's Gelato Connect account ready. If they do not yet have one, create the account first using your tenant's standard Add user flow before continuing.

What MIS User can do

  • Open Manage Estimates and create, edit, copy, and send quotes against the live setup.

  • Use the price breakdown, route review, and quote letter PDF on every quote.

  • Use the AI Configurator and Guidance overlays available on the estimate page.

What MIS User cannot do

  • Open Estimate Setup. The sidebar entry is hidden, and any deep link returns to Manage Estimates.

  • Edit substrates, machines, products, pricing rules, or quote letter copy.

  • Open Estimates analytics.

Steps

1. Open the user record

In Gelato Connect, open Users. Find the colleague in the list — search by email if the list is long.

Open the user record. Use Edit user to enter edit mode.

2. Assign MIS User

In the Permissions section of the user record, locate the role selector and choose MIS User.

  • Role — the access level that controls which Estimator surfaces the user sees. Pick MIS User for a quote-only user. Pick MIS Admin for a configuration owner (see Assign the MIS Admin role).

  • Access presets — if your tenant uses presets, you can click an Estimator preset to pre-fill MIS User alongside any related Gelato Connect permissions. Verify the preset includes the Estimator role you intend before applying. Some presets pair MIS User with order-intake permissions; pick the preset that matches the colleague's wider role on Gelato Connect.

Save changes. Gelato Connect confirms with a "User has been updated" message.

3. Verify the assignment

Ask the colleague to sign out of Gelato Connect and sign back in. Confirm in their session:

  • The sidebar shows Manage Estimates.

  • Estimate Setup and Estimates analytics are not visible.

  • Opening a quote loads the configuration as read input — substrates, machines, and prices come from setup but cannot be edited from the quote.

The role is active and the colleague can now produce quotes without altering configuration.

Things to know

  • Role changes take effect on next sign-in, not immediately. If the sidebar still shows Estimate Setup after assignment, ask the colleague to sign out and back in before treating it as an issue.

  • MIS User is additive on top of base Gelato Connect permissions. The role itself does not grant the colleague a Connect login — verify the base account works before assigning the role.

  • A user can carry both MIS User and MIS Admin at once. Connect resolves to the highest level — they will see the full MIS Admin surface. If you genuinely want to demote a configuration owner, remove MIS Admin explicitly; leaving it on overrides the MIS User assignment.
