Before you start
You'll need:
A customer and contact already set up in GelatoConnect (so their shipping address can be pulled in automatically).
The job details: print method, quantity, and any production steps you want to track.
Step 1: Open the order creation screen
Go to Manage Orders.
At the top right, open the dropdwon next to Place an order.
Select Create Connect One order.
This opens the manual order form.
Step 2: Enter the order details
Fill in the basic information for the job:
Order name / Job name — a label to identify the job.
Custom PO number — your own reference number for the order.
Dispatch Date - When’s expected the order to be dispatched.
Print method — how the job will be produced.
Description — details about the job.
Quantity — how many units to produce.
Sell price - Final price at which you’re going to sell this order.
Step 3: (Optional) Add a package definition
The package definition is not mandatory. If you add one, the form displays the production cost associated with it so you can see how much the job will cost to produce.
Step 4: Define production steps
You can add and define the production steps needed to complete the job (for example, cutting, printing, finishing).
For each step you can:
Choose to outsource it. If you select outsourcing for a step (such as cutting), you can then pick a vendor and see how much that step will cost.
Review the cost of performing the step in-house or externally.
Tracking steps in a workflow
Each step has a checkbox that controls whether it's tracked in a workflow:
Checkbox ticked — a workflow is created for the order. The production steps you defined will be executed in that workflow once the order is sent to production. You will be able to see at any moment in what production station the job is.
Checkbox unticked — the step is recorded on the order but not tracked as an executable workflow.
Tick this box for the steps you want your team to action once the job goes to production.
Note: Adding material to a step is optional and does not affect this workflow.
Step 5: Select the customer and shipping address
Select the customer and a contact for the order.
GelatoConnect uses the contact's details to pull in the shipping address automatically.
If the address is correct, it will populate as the shipping address.
If it isn't correct, you can enter the shipping details manually and add how much it will cost to ship the order.
Step 6: Create the order
Once all details are complete, select Create order.
The order is now created in GelatoConnect One.
