Order from GelatoConnect Suppliers

GelatoConnect Procurement comes with a pre-loaded catalog of suppliers offering materials at pre-negotiated rates specifically for GelatoConnect customers. Begin by reviewing the list of suppliers across various categories to identify the ones that fit your needs. Your onboarding manager can assist in making recommendations based on your region and product portfolio. Ordering is simple, like shopping on an e-commerce platform, with suppliers already integrated into the system. Depending on the supplier's setup, GelatoConnect will send orders to their preferred system (API/EDI, Supplier app, or email).

Step-by-step guide

  1. Access the Catalog: Log into Gelato Connect and navigate the procurement catalog to explore pre-loaded suppliers and their available inventory.

  2. Select a Category: Browse through the categories (e.g., apparel, packaging) and select a supplier that suits your business needs, considering factors like delivery time, location, and pricing.

  3. Choose a Supplier & Product: Once you select a supplier (e.g., Frontpack), review their inventory. Input the quantity you need (e.g., pallets), and the system will automatically update pallet size and shipping details.

  4. Manage Shipping: You can either use the supplier's shipping option or choose a third-party freight provider integrated into GelatoConnect, such as Cargo Board, for potentially lower rates.

  5. Review & Place Order: Confirm the quantity, shipping method, and estimated delivery date. After reviewing the details, place your order.

  6. Track & Manage Orders: Fulfillment is automated. Track your order status directly on the platform or via the Gelato mobile app, and contact suppliers if needed.

Add and Order from Your Own Suppliers

Import your supplier details, the products you buy from them, and their pricing into GelatoConnect. Once set up, you can easily place orders with your suppliers through a streamlined process, trackable in both the GelatoConnect mobile app and desktop platform. Orders are sent to your suppliers via email using the contact information you’ve provided.

Step-by-step guide

  1. Add Your Suppliers: In the procurement platform, navigate to the “Explore Suppliers” section. You'll see both GelatoConnect suppliers and an option to add your own suppliers.

  2. Add a New Category (Optional): If needed, create a new category for the products you're procuring. For example, add “Pillow Covers” as a category and upload an image to represent it.

  3. Input Supplier Details: Enter supplier information, including name, region, delivery times, and contact details. You can also import SKUs, prices, and additional details either manually or by uploading a CSV file.

  4. Order from Your Suppliers: Once the supplier and their products are added to the catalog, you can select them and place orders. Review items, choose the shipping method (e.g., supplier shipping), and complete the order.

  5. Order Confirmation & Tracking: After placing the order, GelatoConnect will automatically generate an email to your supplier with the order details. Track order status, send updates and coordinate delivery, all from the platform. You can monitor everything via the mobile app or desktop version.

Train Your Team to Track, Follow Up, and Receive Inventory Orders

For GelatoConnect suppliers, order status updates are automated and can be easily tracked in the order history. Your team just needs to confirm when an order is received to update the inventory system with the correct products and quantities. You can also contact the supplier anytime via the "message supplier" option on the order page.

For suppliers you imported into the system, GelatoConnect uses AI to automatically update order statuses based on supplier email responses, streamlining the process as much as possible. However, you retain full control over order statuses and can change them at any time. You can also contact the supplier directly from the app using the "message supplier" option on the order page.

Step-by-step guide

  1. Tracking Orders from GelatoConnect Suppliers: When an order is placed with a GelatoConnect supplier, the order status updates automatically, from pending confirmation to shipped and finally delivered. You can track the order through the platform's mobile app or desktop version. Once the order is delivered, confirm receipt to update the inventory system.

  2. Follow Up with Suppliers: If there are any issues or updates, suppliers can communicate via the “contact supplier” function within the order page. You can reach out anytime for assistance.

  3. Receiving and Updating Inventory: When your team receives the order, they simply confirm receipt to update your inventory in GelatoConnect. This step ensures the system reflects accurate stock levels.

For suppliers you’ve imported:

  1. AI-Assisted Status Updates: When ordering from suppliers you’ve imported, GelatoConnect uses AI to interpret supplier email responses and automatically update the order status. You retain full control over these updates and can change the status as needed.

  2. Direct Communication and Flexibility: You can also contact the supplier directly via the “contact supplier” feature and adjust order statuses manually based on any phone or email updates received. Once confirmed, the correct product quantities will be added to your inventory system.
