[Getting Started - GCW] Monitoring Production and Managing Exceptions

Detailed Instructions

  • Control Panel:

    • This dashboard provides an overview of key performance metrics (for the last 7 days to 6 months) and actionable insights for the business, such as: dispatch performance; actions and issues that require immediate attention; stock replenishment by product category; errors, and packaging throughput.

  • Dispatch Overview:

    • Review the Dispatch Overview dashboard for a high-level summary of production status and issues. The Production Errors area at the top highlights issues needing attention. Strive to keep these numbers as low as possible.

    • Check the Dispatch Today section to manage today's job queue and shipping requirements.

    • Explore the Products area to understand product mix, production details, and active jobs.

    • Use the Jobs section to track job status and production timeline across all products and orders.

    • Apply Filters to focus on specific issues like delayed jobs, file problems, reprints, or resolved items.

Issues and Reprints

  • If there is any issue with the design, stock availability, quality, or other problems, then the user should use the “Report Problem” button on the screen (also available in the ‘Support’ menu) to report such issue,s which the Gelato team can look at and revert.

  • If the user wants to get a reprint done, then the user should select the “Report Reprint” button on the screen and request a reprint

    • Such requests get queued on the “build reprint” page

    • From here, the user can select the printjob and proceed withthe reprint

  • All such requests for reprints or for issues are recorded in the communication center dashboard under “Gelato Tickets”. Internal tickets are those that are reported as “Internal Issue” while reporting from the “Report Problem” flow.

Next Uploads

  • Provides a comprehensive view of the upcoming print jobs, enabling the business to plan production schedules, manage inventory, and ensure timely order fulfillment.

  • The left side of the screen shows the upcoming dates along with the number of jobs scheduled for each day. This allows the production team to plan ahead and allocate resources accordingly

  • Providing a breakdown of products and items: The main table displays a list of products along with the corresponding number of items and jobs for each product category. This gives an overview of the product mix and volumes for the upcoming orders.

  • Options to download CSV with all details of upcoming orders by the granularity needed: print jobs, orders, packages, or boxes

  • Option to use filters on the top to easily identify issues with the production (clickable).

Production Tracker

Production Status Tracker provides an overview of jobs scheduled for production today and the following three days. It also highlights delayed jobs and plates, considering their dispatch dates. The tool includes two screens to match the level of detail required: Jobs and Plates. It offers two distinct views:

  • Production Manager Dashboard: Designed for production managers to get a holistic view of the status of print jobs and plates across the production floor.

  • Operator Dashboard: Tailored for operators at specific stations, providing a clear list of jobs to be completed on a production day. This view includes intuitive steps to scan and move jobs to the next station.

  • The Production Status Tracker is available exclusively to customers with the Gelato Connect Workflow module enabled. It is linked to the Workflow Configuration, allowing users to track only products built using the Workflow Configuration (inside Product Models).

Packaging metrics

  • This section provides a comprehensive view of the packaging process, enabling the business to monitor throughput, efficiency, and performance at various levels (overall, by product group, and by packaging station); examples of some metrics are:

  • Throughput Today: the total time needed for packing jobs left.

  • Packaging efficiency: Efficiency Score measures the speed of packaging items, focusing on Quality Check Time (inspection duration) and Packaging Time (actual packaging after inspection).

Shelf Configuration

  • Create shelves specifying a name (e.g., calendars) and a number of rows and columns where those products should be placed.

  • Get an assigned shelf "on the fly" to sort multi-item packages

  • Let packaging operators know immediately when a shelf is ready for packaging

  • Possibility for users to opt out of dynamic allocation and use static pre-allocation by the order intake system. The benefit of pre-allocation is that the wall number will be printed in the print job ticket, and the main benefit of dynamic allocation is the ability to configure shelves and pick a specific one for the operator to work on.

Quality Control

  • Scan each item and conduct required quality checks before proceeding to packaging.

  • Report any quality issue and generate a reprint with a single click.

Packaging Checks Configuration

  • Create any customized checks before printing the shipment label, for example: ‘Verify that all items in the package are ready for shipment’.

Packaging app

  • Scan each item, visually verify the print job against a preview image, and get the label to shipment in only a few seconds.

  • For multi-item packages, the packager can combine sorting and packaging on a single station. He can scan the item that would be dynamically allocated to a selected shelf, and he can move on to the next item. Once all items have been scanned and allocated, the shipping label will be printed, and the package will be ready for shipment.

  • Conduct all checks on the summary page without the need to navigate back and forth.

  • Improved visualization, with controls to expand or collapse package items, view to ensure the operator focuses on one item at a time.

  • Direct connection with the printing of add-ons, such as invoices, labels, inserts, and more.

  • The user has the possibility to specify the threshold for orders with larger quantities to optimize the scan process, so they can scan only one item for the group.

Aggregated Packages

The Aggregated Packages feature allows multiple smaller shipments to be combined into one larger package, optimizing shipping costs and improving operational efficiency.

  • Choose the recipient from the 'Aggregated package' section in the app.

  • Scan each package and verify its status (valid, invalid barcode, or incorrect recipient).

  • Input dimensions and weight, select a shipping option, and generate the required shipping documents.

  • Print the documents and ship the aggregated package.

  • Repeat the process for additional packages if needed.
