[GCP] Setting Up Automated Stock Consumption and Replenishment

This article outlines how to configure automated stock consumption and replenishment for SKUs in GelatoConnect Procurement (GCP). With the correct setup, GCP can automatically update inventory when orders are processed and suggest replenishment when stock levels fall below defined thresholds.

Adding an SKU to Inventory Management

Begin by ensuring that a product model and associated unique identifiers (UIDs) have been created. If a workflow has already been set up using AutoConnect, stock consumption can be automatically triggered when an order is processed.

To add the SKU to inventory:

  1. Navigate to the Inventory Management section.

  2. Use the Add from Catalog option.

  3. Select My Product to locate the SKU based on its UID or name.

  4. Select the relevant SKUs, click Continue, and then choose Import.

Once imported, the system automatically associates the SKU with the corresponding Gelato Product UID.

Verifying Automated Stock Consumption

After the SKU is added, stock activity can be reviewed to confirm automated consumption:

  1. Find the SKU in the inventory table.

  2. Click View SKU Activity.

  3. Review the list of print jobs and stock changes linked to order processing.

This confirms the inventory quantity is updated automatically when an order is fulfilled via the integrated workflow.

Enabling Automated Stock Replenishment

GCP features a restock recommendation banner that alerts users when SKUs fall below the defined minimum stock threshold.

To activate automated replenishment:

  1. Ensure the inventory SKU is linked to a supplier SKU.

  2. Go to the My Supplier section under Catalog.

  3. Click Add SKU and create a new supplier SKU using the same identifier used in inventory.

  4. Provide relevant product and pricing details.

  5. Save the SKU to establish the link between the inventory item and the supplier.

Once linked, the supplier will appear as the default option for replenishment. When stock levels are low, GCP will include the SKU in restock recommendations and allow order creation directly from the banner.

Finalizing the Workflow Integration

With automated consumption and replenishment configured:

  • Inventory levels are automatically updated during order processing.

  • Stock replenishment suggestions are generated based on the minimum threshold and supplier linkage.

  • Procurement workflows can be executed with minimal manual input.
