The Stocktake feature in Gelato Connect Procurement (GCP) enables you to perform physical inventory audits and reconcile stock levels directly in the system. Whether your team performs weekly, bi-weekly, or monthly inventory checks, Stocktake helps you keep warehouse data accurate with minimal effort.
Accessing the Stocktake Tool
To begin a stocktake:
Navigate to Inventory Management under the Procurement section.
Open the Inventory tab.
Click on Export CSV, then select Export Stocktake File.
You can apply filters before exporting, such as limiting results to a specific warehouse location or storage zone. This ensures that only relevant SKUs are included in the export file.
Understanding the Stocktake File Format
The Stocktake CSV contains only the necessary columns required for inventory adjustments, including:
Product SKU
Product Name
Location
Quantity in that specific location
Zone type (storage or production)
This simplified format helps reduce errors that might occur when working with a larger dataset and ensures the stocktake process is quick and reliable.
Updating Stock Quantities
To update quantities:
Edit the quantity column for the relevant SKU and location rows.
You may delete rows for SKUs or locations you do not wish to update—doing so will leave those quantities unchanged in the system.
To add new inventory to a new location, insert a new row with the correct SKU, new location, and updated quantity.
Important Behavior Notes
Deleting rows: Skips updates for those SKUs or locations. It does not delete the actual location or inventory.
Adding new rows: Introduces a new location with the specified quantity. This updates your inventory to reflect the newly added storage position.
Modifying quantities: Replaces the current quantity at the listed location with the new value provided.
Importing the Updated File
After updating and saving the file:
Return to the Inventory page.
Click Import Stocktake File.
Upload the updated CSV and confirm the import.
Once imported, you will receive a confirmation message, and your warehouse data will reflect the newly updated inventory quantities and locations.
