Managing budgets and allotments

Give each group member a spending allotment per cycle and track their balances.

Overview

This article walks you through giving each member of a group a spending allotment per cycle and tracking what they've used. By the end, your group will have a budget with per-member balances you can monitor and adjust.

Prerequisites

  • You are logged in to the Admin Panel as a store admin.

  • You have a group with members (see: Setting up a corporate store with Groups).

Step 1: Set up a budget for a group

  1. Go to Budgets and click Set up budget (or Manage on an existing group).

Step 2: Configure the allotment

  1. Set Allotment per employee — how much each member gets per cycle.

  2. Choose the Unit type (for example, count of items) and the Renewal cadence (for example, Anniversary).

  3. Set a Warning threshold (%) to flag members nearing their limit. Choose whether overspend is allowed (soft limit) or blocked (hard limit), then Save Changes.

Step 3: Track and adjust balances

  1. Review the summary (Total budget, Total spent, In progress, Available) and the per-member table.

  2. Use Edit budget next to a member to correct an individual balance.

Note: With a soft limit, members can overspend and their available balance goes negative; with a hard limit, orders that exceed the allotment are blocked.
