[Order Intake - GCW] Configuring FTP for File Transfers

This guide outlines the information needed from clients to ensure a seamless setup of their FTP integration with Gelato Connect (GC).


Setting Up Your FTP Integration with Gelato Connect

To configure your FTP integration, please provide us with the following details:

Order File Examples

  • Sample PDF and XML/JSON files for each product type (e.g., postcards, brochures) you want to process in orders submitted through FTP.

FTP Scan Frequency and Schedule

  • Desired frequency for our system to scan the FTP folder for new files (e.g., every 15 minutes, hourly, twice daily).

  • Specific times when the folder should not be scanned (e.g., weekends, 10 pm-4 am).

File Deletion Policy

  • Decision on whether files should be deleted after processing.

  • If yes, specify the deletion timeframe (e.g., immediately after processing, after X days).

  • Alternative action: Should files be moved instead of deleted? If so, specify the destination folder.

FTP Directory Structure

  • Path where files are initially placed when uploaded to the FTP server (Initial Drop Folder).

  • Confirmation on whether a separate directory exists for each customer.

  • Procedure for handling files once orders are processed successfully (Processed Files Folder).

  • Procedure for handling files when order processing encounters issues (Failed Files Folder).

  • For better clarity, consider providing a screen recording or screenshots of your current directory structure and process.

Manual Processes

  • Description of any existing manual steps in your FTP order intake workflow (e.g., manual file deletion).

Anticipated File Volume

  • Estimated number of files expected to be added to the FTP folder daily.

FTP Server Login Credentials

  • FTP server address.

  • Email address for FTP access.

  • Password for FTP access.

For security purposes, please share your FTP access details securely via zbin. Additionally, let us know if we can create a dedicated folder on your FTP server for testing purposes.

  1. Validate the provided information.

  2. Set up the FTP connection, potentially starting with a test FTP server or dedicated test folders on your production server.
