[Order Intake - GCW] Managing Orders in Gelato HQ

The Orders dashboard is where you'll spend most of your time in HQ - and for good reason. It's your single view into everything happening across your entire print network, designed to answer customer questions in seconds.

Jump Right In

The Orders page welcomes you when you log in to Gelato Headquarters. You can always get back here by clicking "Orders" in the left menu.

Find Any Order Fast

Stop scrolling through endless lists. Use these filters to zero in on exactly what you need:

🔍 Search Bar: Type an order ID or customer name

📅 Date Range: "Show me everything from last week" or "Just today's orders"

🏭 PSP Filter: Focus on one printer when you're troubleshooting their performance

📦 Order Status: Filter by "In Production", "Shipped", "Delivered", "Cancelled" and more statuses.

🌍 Destination: See all orders going to a specific country

Pro tip: Combine filters. "Show me all orders for a specific printer from last month that were cancelled" tells a story about what might need attention.

Get the Full Story on Any Order

Click any order to open its complete profile - everything you need to answer customer questions or solve problems.

What You'll See:

  • Order ID and current status (the basics)

  • Shipping address and delivery method

  • Complete timeline of what's happened so far

  • Product details with print file preview

  • Tracking information when available

Common Actions That Save You Time

Track Order Progress

The Event History section shows every milestone, for example:

  • When the order was received

  • Production status updates (e.g. "Printing started")

  • Shipping details ("Picked up by courier", "Out for delivery")

Customer asking "Where's my order?" → Click the order → Read the latest event → Give them a real answer.

Edit Shipping Addresses

Spotted a typo in the address? You can fix it if the order hasn't started production yet.

  • Click the edit icon next to the shipping address

  • Make your changes

  • Save and breathe easy

The system validates addresses automatically - if there's a potential delivery issue, you'll get a heads up before problems happen.

Place Reorders in Seconds

Customer loves their order and wants another? The reorder feature is your friend:

  1. Find the original order

  2. Click "Reorder"

  3. Adjust quantities if needed (or add/remove products)

  4. Verify the shipping address

  5. Pick shipping method

  6. Add retail prices (required for international orders only)

  7. Submit

The system remembers all the details from the original order - you just confirm and go.

Handle Cancellations

Sometimes orders need to be cancelled. If it hasn't entered production, you can cancel it directly from the order details page.

Download Print Files When You Need Them

Need to see exactly what's being printed? Click the download button to grab the print files. Useful for:

  • Verifying customer artwork looks correct

  • Quality checking before production

  • Resolving customer questions about their design
