[GC AI-Estimator] How to Create and Manage Estimates

This article is designed for salespeople and estimators and explains how to view, filter, and create estimates using the AI-Estimator interface.


Navigating the Manage Estimates Page

Use the Manage Estimates page to handle all existing estimates.

Viewing Estimates

The dashboard lists all active and past estimates with key details. You can customize the visible columns to display more info, such as the estimator’s name or product category.

Filtering, Sorting, and Searching

  • Filters: By Date Created, Customer, and Status

  • Search: Find estimates by typing a Job Name

  • Sort: Choose between Last Updated or Oldest Updated

Changing Estimate Status

To update the status of any estimate:

  1. Click the options menu beside the estimate

  2. Select Change Status

  3. Pick the new status from the dropdown


Creating a New Estimate

From the Manage Estimates page, click Create New Estimate (top right corner) to begin.

The Create Estimate Page

This page has three sections:

  • Manual Form: Input estimate details manually (left side)

  • Connect AI Chat: Paste customer requests for AI to interpret and complete the form (right side)

  • Header: Navigation and action buttons including "Go back", "Connect AI", "Save as draft", "View PDF"

You can hide the AI panel by clicking the 'x' or Connect AI in the header.


Manual Estimate Form Explained

Basic Details

  • Job Name: Descriptive name of the quote

  • Customer Name: Selected from an existing list

  • Estimate Number: Auto-generated upon saving

  • Status: Default is “Draft,” can be changed later


Product Description(s)

  • Select a product type to load the proper fields

  • For bound products, choose Add Cover to specify different paper/material for covers

  • Use Special Stock for unique customer-supplied paper

  • Enable Custom Colors to select number of inks and special color types (e.g., CMYK, metallic)

  • Post-press options (e.g., lamination, spot finishes) are shown by clicking Show more options


Quantity and Versioning

  • Define total quantity and number of versions for each part (cover, inner pages)

  • Assign specific quantities to version combinations

  • Version Summary provides a breakdown by component

  • Note: Versioning is currently available only for non-bound products


Delivery and Shipments

  • Set shipping destination, method, and deadlines

  • System suggests packaging but allows overrides

  • Choose palletization if needed

  • Click +Add Shipment to split delivery

  • View cost breakdown by shipment (boxes, weight)


Notes and Special Requests

Use the free-text field to add:

  • Special customer requests

  • Internal communication notes


Product Pricing Options

The system calculates price options based on:

  • Material

  • Machine configuration

  • Production rules

View options:

  • Top 5 options shown by default

  • Click Compare all prices or See price breakdown for more details

  • Edit VA per press hour by clicking the edit icon

  • Adjust final price manually (with reason): set a custom amount, add to existing price, or apply a discount


Total Estimate and History

  • A floating bar displays the Total Estimate

  • Click Show Details for price and rebate breakdown

  • Click Save to keep your progress

  • Use View PDF to generate a quote

  • Open History to view the change log
