This article provides a comprehensive guide to understanding how Gelato Connect Procurement automates inventory receipt and consumption, ensuring accurate stock management and preventing shortages. We'll walk you through the step-by-step process and explain how this streamlined system helps you maintain optimal stock levels.


Automated Inventory Management

Gelato Connect Procurement simplifies inventory management by automating key processes, giving you real-time visibility into your stock levels:

  1. Inventory Receipt: When a supplier order is marked as "delivered," the system automatically updates your inventory with the received quantities, eliminating manual entry and ensuring accuracy.

  2. Inventory Consumption:

    • Simple Products (Apparel, Mugs, Frames): Upon receiving an order in Gelato Connect, the corresponding SKU's inventory is automatically reduced. For instance, if you receive a t-shirt order, the t-shirt quantity in stock decreases accordingly.

    • Other Categories: SKUs are initially assigned to a storage location. When operators transfer items to production and mark this action in the system, the items are automatically removed from inventory and marked as "consumed."

  3. Auto-Replenishment: To prevent stockouts and excess stock, Gelato Connect features an auto-replenishment system. When an SKU's inventory falls below the predefined minimum stock level, it's prioritized on the inventory list, triggering auto-replenishment. These low-stock SKUs are included when you create automated replenishment orders. Once an order for a low-stock SKU is placed, its status changes to "ordered," providing easy tracking of existing inventory orders.


Inventory Deduction for Simple Items

For simple items like apparel, frames, and mugs, inventory deduction occurs at a specific point in the order process to maintain accurate stock information and ensure a seamless workflow.

When is Inventory Deducted?

Inventory for simple items is deducted when an order's status changes to "prepared." This early deduction reserves stock immediately, providing an accurate, real-time view of available inventory. This prevents overselling and facilitates proactive planning for low-stock items.

How to Check Inventory Deductions

To monitor inventory deductions, utilize the "view SKU activity" option in the inventory system. This feature provides a detailed log of every order received and the corresponding inventory adjustments.
